From Lisa on Jan 18, 2024:
Hello everybody!

I wanted to put all Sophomore Summit Info in one email so everyone can access it in one place.  We are only a week and a half away!

Sophomore Summit-2024 at Southwest Tech. (please note times slightly different from what I said yesterday due to a request from MAU to keep students until dismissal)
Workshop 1: 8:20-9:10  50
Workshop 2: 9:15-10:05  50
Workshop 3: 10:10-11:00  50
In Workshop 3 classroom: 11:00-11:05-students complete exit ticket and will be dismissed at 11:05 with the bell.

Students will fill out an exit ticket that I will provide to you closer to the event.  It will be through a QR code but I will also have some paper versions on hand as some of the schools will not permit their students to have phones with them for the day. As this is a half day, dismissal will be at 11:05 for MAU students.

Presenters and you, as facilitators/presenters, will have groups of students ranging from about 8-16 students for all three workshops.  In the past this has been an event where things have been very much presenters talking at students but the desire is to have something a little more hands-on.   It doesn't have to be anything crazy or involved.  Students will have two career pathway specific workshops and one workshop from the Department of Labor.  The best part about this is that I now have data on 235 10th grade students from MAU, Arlington, and BBA and what careers they are thinking about with their emails...which is our key demographic for programs.

Please be in contact with your presenters. If you haven't talked to them in a while, please reach out with specific info again.

Presenter Info: Please let your presenters know they can come as early as 7:50. They must stop at the registration table that will be near the front door, just inside the lobby.  They will get a visitor pass and a gift from SWT and Bennington Workforce and Education.
Maintenance will help presenters find parking spaces that day and get them moving toward the main entrance.
We will have coffee, pastries, fruit, bagels, muffins etc set up somewhere close to the registration tables.

Student information: Students who have registered will get an agenda with workshop, classroom number, and workshop times on a lanyard to wear the morning of the event in their first block classes.  IF a student has not registered at this time, they will not be able to attend.  At the presenter registration table I will have a master list of student workshops in case someone loses it somewhere during the day so if a student loses that, please send them up to the main entrance for assistance.   I will have MAU make an announcement at 8:15 to have registered Sophomores move to their first workshop and then I will make announcements to move to the next workshop.

As this is a half day, you will still have your program students, short block students, etc.  Please use your programs students as demonstrators, project helpers etc.  Short block students can be used the same way or as part of the audience seeing you might be able to recruit them for programs in the future as well.

Action Items
a) Student ambassadors: if you have students that could assist for the day, please let me know.  I would love to have some students stationed near the registration table to help guide presenters to your rooms and help students in the hallways find their way around.

b) Please let me know ASAP if you need any special equipment that we need maintenance's help with.  For instance, if you need extra 8 foot tables, chairs, etc. or if there is anything you need Dan's help with,  I need to know this ASAP.

c) Please be in contact with your presenters. If you haven't talked to them in a while, please reach out with specific info again.  IF you are still in need of help with finding presenters, please see me, Kristen, or Kim ASAP and we can help brainstorm.

d) ****PLEASE****   I will be sending a link to all of you for a spreadsheet later on today.  I have filled out everyone's name and career pathway and I need you to fill in names of your presenters.  I need this for a variety of reasons including registration, presenter gifts, thank you notes and future planning of events.  I need this as soon as possible!

There is a lot of buzz surrounding this event this year since it has been out of commission since the last one in April of 2019!

If I have missed something or you have questions, please let me know.

ACTION ITEMS:
We are looking for each teacher to get 2 (3 if you want) people to join them for 3 hands-on workshops, about 45 minutes apiece. This is the same workshop three times for three different groups of students. You should be looking for people who can also speak to represent different jobs within the cluster that your programs fall under.   You WILL have your morning students with you at the same time, so students can work with the group, etc.
For instance: Building Trades:  Brian can speak to general construction.  He could get an HVAC tech, an architect and a plumber or electrician to also come speak to kids.  They could come up with a hands-on project that could do simple woodworking or do a simple demo  but also talk a little about how the three could work together to build a house or commercial building.

I have a list of former presenters that were signed up to participate in 2020 if someone needs ideas of how to expand their cluster. You can also pull from your advisory groups too.  I think the thing to remember is that this is a career pathway event and not a program specific event.  BUT this  also a great opportunity to get all 10th grade students into the building before they pick their classes and select programs in January/February!.  We have also broken all faculty into groups to work with either Kim C, Kristen O, Nicole or me to plan your speakers.  There is a small pot of grant money that we can utilize for materials if needed as well.  We have broken up the faculty into these groups and people will be reaching out to you to see what support they can offer.
